Business waste & recycling self-help guide
Review business waste and recycling step by step
Check the employee-based recycling deadline, identify every waste stream, compare the complete cost and confirm that ordinary and clinical waste are handled correctly.

Before you begin
This guide is for workplaces in England. It helps you organise a first review; it does not replace waste-classification, environmental, health-and-safety or legal advice.
Useful principle: compare providers against the same waste streams, container sizes, weights and collection pattern. A low bin-lift price is not a complete comparison.

Employee threshold
Confirm which recycling deadline applies
10 or more FTE employees
The workplace-recycling rules have applied since 31 March 2025.
Fewer than 10 FTE employees
Micro-firms have until 31 March 2027 to comply.
Count the whole enterprise
Use total full-time-equivalent employees across the business, not a separate count for each site. Contractors, self-employed workers and volunteers do not count.
Do not use headcount alone. Convert part-time hours into full-time equivalents and retain the calculation that supports your deadline.
Workplaces must arrange separate collection of food waste, dry recyclable materials and residual waste. Plastic film and flexible plastic join the recyclable-plastic stream from 31 March 2027.
Preparation
Gather one reliable set of information
- Recent invoices and the current service agreement
- Container sizes, collection frequencies and collection days
- A list of every waste stream produced at each workplace
- The business's total number of full-time-equivalent employees
- Waste transfer notes and the collector's registration details
- Any contamination, overweight, access or failed-collection charges
- Clinical, offensive, sharps, medicines or other specialist-waste records
Waste-stream register
Record what the business actually throws away
Walk through each workplace and record the source, approximate volume and present container for food, paper and card, glass, metal, plastic, residual waste and every specialist stream.
Kitchen, shop floor, treatment room, office or production area.
Typical weekly volume, seasonality and occasional peaks.
Container, signage, liner colour and storage location.
Clinical and specialist waste
Classify and segregate healthcare-related waste at source
Clinical waste
Items contaminated with blood, body fluids, infectious material or medicines may need a dedicated clinical-waste route.
Sharps and medicines
Use the correct approved container and never mix sharps, pharmaceutical or cytotoxic/cytostatic waste with ordinary refuse.
Offensive waste
Non-infectious hygiene waste still needs the correct classification, packaging, storage and collection arrangement.
SME Sorted can help: tell us what the business produces and we can help explore suitable clinical-waste collection arrangements as well as ordinary business waste.
Service specification
Measure containers, frequency and access
Record the container size, fill level before collection, missed collections, seasonal peaks, access restrictions, keys, collection windows and storage constraints. The best-value service should be large enough to be reliable without repeatedly collecting empty capacity.
Whole cost
Convert every option to an annual total
| Cost area | What to include |
|---|---|
| Container and collection | Rental, lift, exchange, scheduled collection and minimum-service charges. |
| Weight and excess | Included weight, excess-weight rates and overweight-container fees. |
| Additional services | Food waste, glass, confidential, clinical and other specialist streams. |
| Exceptions | Contamination, access, wasted journey, lock, delivery and documentation fees. |
| Contract | Indexation, renewal, notice, equipment removal and early-termination costs. |
Duty of care
Check the collector, paperwork and destination
Confirm that the collector is authorised for the waste, describe it accurately, keep the required transfer or consignment records and take reasonable steps to prevent mishandling or illegal disposal. Clinical waste may require additional classification, packaging and consignment controls.
Your duty does not disappear when the bin leaves. Keep the collector checks, descriptions, records and evidence of any query or corrective action.
Decision
Check the service and contract before accepting
- Employee count and the relevant Simpler Recycling deadline are confirmed.
- Every ordinary and specialist waste stream has been recorded.
- Clinical, offensive, sharps and medicinal waste are classified and kept separate.
- Container sizes, collection frequency and access arrangements fit the site.
- Every recurring, variable and exception charge is included in the comparison.
- The collector's authority and the business's duty-of-care records are checked.
- Contract length, price changes, notice, renewal and exit costs are understood.
- The implementation plan avoids missed collections or unsafe storage.
